Getting your transcript has become a vital part in furthering your studies to whatever level you want. In order to further to the post graduate level, you’ll need your undergraduate transcript, irrespective of the institution you did your undergraduate programme and the one you’re seeking to do your post graduate programme. With this, your transcript has become a vital armour and tool you must have.

The transcript contains a full detail of your academic results, including the courses you took, their credit units, your grades and CGPA. At the point of graduation, many people will not be able to know their final CGPA  (Cummulative  Grade Point Average). This information is enshrined in your transcript and can be known first hand as you get your transcript.

Your transcript also specifies your class of graduation. Basically, the various classes of graduation includes; first class, second class upper division , second class lower division, third class and pass. Although several institutions have their own grading scale. Some use distinction in place of first class.

Hence, in the education system, your transcript is a very vital document you must have. This is why a unit known as Records and Statistics is created in every high institution and has the responsibility of processing transcripts.


So this article is aimed at teaching and enlightening you more on how to apply for and process your FUTO transcript. Although, the process of applying for transcript is almost similar across various institutions, hence this article is relevant to everyone.
The steps involved in applying for FUTO transcript includes;

#1 Visit the application Portal
This is the first step in applying for transcript. There are basically 2 things that can be done on this portal. The first is certificate verification and the second is transcript application. Since you want to apply for transcript, select transcript and then provide the required information. The information to be provided include; full name, registration number, phone number and email address. Once this is done, you have completed the first stage
NOTE: The transcript portal often encounters network issues at interval. Hence, you keep trying until you succeed

#2 Visit the email you provided
Upon successfully creating an account on the portal, an automatic email is sent to you. The mail contains the email address you provided and the password which is in numeric codes. It’s important to let you know that in some cases, the mail may be delayed but it works faster for yahoo mail than gmail. Also note that if you have applied for FUTO transcript and you want to reapply, you do not need to follow the first step. Just go to your email and retrieve the login details and proceed

#3 Go back to the portal
At this point, you can go back to the portal and login using the details that was sent to your email. Ensure you input the password correctly, else you will be denied access

#4 Fill the form provided
Having successfully logged into the portal, click on the apply new button. It refreshes the page and allows you to input your details. The details you are expected to input includes; your department, faculty, date of graduation, destination country and address. Also note that the prize for the transcript is dependent on the destination country. For example, at the point of writing this article the prices for transcript are
Nigeria #17,500
USA and Canada #35,000
UK #27,000
Spain #30,000 etc
If you are sending your transcript to WES (World Education Service), then there is an extra cost of #10,000 for the verification. This extra cost is not paid on the portal, it is paid in FUTO cash office.
While filling the form, in the option for send by, choose Post

NOTE: If any of these fields are not filled, the portal will not general the prize for the transcript

#5 Continue to Payment
If you have successfully and accurately provided these information, the next thing is to continue to payment. In this 21st century, as a result of technological development, there are various ways of making payment which include;
Print invoice and head to the bank
Pay through remita
Pay with debit card
Pay with bank transfer etc

#6 Print payment receipt
There are basically 3 ways to get the receipt for the transaction. The first is that the receipt will be automatically sent to your email which you can print. The second is getting the remita code and then go to remita.net, click on resend receipt, fill the form and input the remita code. The receipt will be sent either to your email address or an alternative email address which you will provide. The third way is by printing the receipt through the FUTO portal. This is the best method of printing receipt after making payment because the printed receipt will bare PAID on it. This will help you to skip further verification and confirmation of payment. But when you use the two options above to generate your receipt, you’ll need to go to FUTO bursary unit and submit the receipt for confirmation

#7 Submit the receipt to the Records and Statistics unit of FUTO
Having done all the above steps, the next thing is to locate your schedule officer at the Records and Statistics unit of FUTO and submit the receipt to him/her. This is exclusively for those who are within the university’s environment. If you stay far from FUTO, then you’ll not be able to submit the receipt. You’ll need someone to assist you in doing that. At the end of this article, a phone number will be added in case you are in need of help. The Record and Statistics unit of FUTO handles the processing of Transcripts and letters of English proficiency.

#8 Locating your Green file
The 7 steps above are what you should do, or anyone who is interested in helping you can do that for you but the remaining steps that will be presented below are not what you should do, the unit has designated people who handles them without your interference. The first thing to do is to ensure that you submitted your green file to your department, either in your year one or two. Hence, having submitted your receipt to your schedule officer, the first thing is for the schedule officer to locate your green file. There are 3 places your green file could be and they are;
i. Store: The unit has as a store which houses almost all the green files of all FUTO alumni and it is the first place the green file should be checked for. This is strictly for those who haven’t applied for transcript before
ii. Old SEET: As a graduate of FUTO, you’ll remember that SEET means School of Engineering and Engineering Technology. This is where the former office of the Records and Statistics was located. As such, if you have applied for transcript before, your green file may likely not be at the store again. This is because it was removed and use in your application. Hence, it will most probably be at the old SEET head.
iii. Your Department: Due to so much work, it’s possible that your department did not move a copy of your file to the store. Remember that you submitted 3 copies of the green file to your department of which 1 is to be sent to the store. But when this is not done, then it means that the 3 of them will be in your department. Additionally, it’s also possible that due to one mistake or the other, your green file may not be easily located both at the store and old SEET head. Hence, your department will be the surest place they can get the file

#9 Compiling of your results
Remember that transcripts contains all the courses you offered in your undergraduate, the grade you had in each of them and your final CGPA. Hence, it is the responsibility of the schedule officer to compile your results. If any issue arises during the process of compiling your results, the schedule officer devices every possible strategy (which are approved by the institution) in order to resolve the issues.

#10 Vetting of the Transcript
When the schedule officer has finished compiling the results, the next thing is the vetting. The vetting is done to ensure that all the details and information provided by your schedule officer are accurate. The unit has professionals who handles this task.

#11 Certification and Signing
Having completed the vetting, the next thing is to Certify the transcript and then sign. The signing is done by the coordinator of the unit or any other staff who has been assigned to perform the task.

#12 Sending of the original copy to the destination address
Remember that during the application stage, you provided an address of the institution where you want the original copy to be sent. As such, when all these are done, the original copy of the document is been sent to the address you provided. The transcript is sent either through email of courier service, but the email system is the most advised and reliable. Additionally, the email system saves time

#13 Collection of students Copy
Every transcript that is been applied for has a students copy. It is called students copy because it is your right and it is also your document. You need it for several reasons. There are institutions that you’ll need students copy during the application stage. Hence, if someone is helping you in the process, then he/she should help you get the students copy.
At this stage, the entire process has been completed

POINTS TO NOTE

  1. FUTO no longer processes transcripts with KEEP IN VIEW as destination address. Your transcript must have an address if not, it won’t be successfully processed
  2. You must pay for transcripts anytime you want. You can’t get more than one successfully processed transcript with only one payment. This means that if you need transcript more than once, you must pay for each application.
  3. In some cases, the transcript may delay longer than planned. This is because there are times unforeseen issues may arise and as such resolving them may not be an easy one for the schedule officer. This will then cause a delay in the transcript processing
  4. Start early in your application. In the point above, it was stated that due to unforeseen circumstances, your transcripts may be delayed. Therefore, try to start the application as early as possible. Do not wait till you are given a deadline before you start the process. You may end up been disappointed
